The Campaign Handoff From Marketing to Sales
A practical framework for passing qualified campaign replies to sales with the evidence, history, ownership, timing, and feedback needed to act.
A campaign reply should not become a sales task simply because a contact clicked or answered. A reliable marketing sales handoff transfers a reason to engage, the evidence behind that reason, and an accountable next step. The goal is continuity: sales should know what the buyer saw, why the lead qualifies, who must respond, and what happens if the lead is not ready.
1. Define qualification as evidence, not a label
Start by agreeing on the minimum evidence required for handoff. Use observable facts rather than labels such as hot or sales-ready. A useful threshold combines:
- Fit: Role, account type, geography, use case, or another agreed ideal-customer criterion.
- Engagement: A meaningful reply, requested meeting, pricing or implementation question, or repeated high-intent activity. An open alone is not enough.
- Need or timing: A stated problem, active project, deadline, or willingness to explore.
- Permission and status: The contact is legally and operationally eligible for follow-up.
Document which combinations trigger a handoff and which only trigger nurture. If points support the decision, align them with a transparent B2B lead scoring model, but preserve the underlying events. Sales needs to see why the score exists, not just the number.
2. Package context and conversation history
Every handoff record should let a representative understand the exchange without searching several systems. Include the campaign name and objective, original audience or segment, message variant, send dates, all replies, and any previous human correspondence. Add relevant page or asset interactions only when they are reliable and necessary.
Separate customer language from marketing interpretation. Store the exact reply and then a brief summary: expressed need, likely objection, known stakeholders, requested action, and unanswered questions. Do not rewrite a vague response as intent the buyer did not express.
Use a stable contact and account ID to prevent duplicates. An AI Email CRM can help centralize messages and routing, but the handoff schema—not the tool alone—must define which fields are required.
